Assign Roles & Responsibilities

Form a webinar organizing team with dedicated departments including promotions & PR, content, designing, & logistics and assign clear responsibilities to every member. Proper role allocation ensures effective and efficient management of all aspects of the webinar, including market research, content, promotions, logistics, and tech support. 

Conduct In-Depth Research

Define Key Performance Indicators (KPIs)

Create Webinar Calendar

To maximize efficiency and productivity, create two webinar calendars—one for monitoring the progress and another one indicating the schedule of the upcoming webinar and its activities. 

  • For the team calendar, plan a timeline consisting of key tasks, deadlines, process status, and milestones to consistently monitor and track the progress. 
  • For a webinar schedule, create a calendar detailing the duration and activities included in the session, like opening, closing, presentation, Q&A, networking, etc.

Find the Right Webinar Platform

Choose a webinar platform that is cost-efficient and offers all essential capabilities and key features, such as robust engagement & interactive features, easy screen sharing, seamless integration, inclusive functionalities, platform training & testing, and dedicated customer support. 

Prepare a Primary Webinar Deck 

You will need a solid webinar deck to reach out to potential speakers you plan to invite for your event. This deck can also be used as a proposal document to secure marketing collabs and sponsorship efforts.

Draft a document outlining the purpose, agenda, and benefits of the webinar. To make your webinar proposal more appealing and credible, include details of past successful webinars like impressive metrics or numbers, speaker lineup, sponsor testimonials, etc.

Find and Finalize Speakers

Look for subject-matter experts and knowledgeable speakers based on your selected webinar theme & topic. A qualified and known speaker will help increase your reach, add credibility, and boost visibility.

4-6 Weeks Prior

Create Your Webinar Landing Page

Develop an engaging & branded webinar landing page and include all important details, such as topic, description, date, day & time, location, speaker bios, partners (if applicable), and strong CTAs to drive registrations.

Conduct Dry Run

Navigate the platform and test all the features, including engagement elements, screen sharing, integrations, live stage, backend controls, audio & visuals, recording & replays, and bandwidth & browser requirements. 

Create Promotional Content & Visuals

Create visually impactful webinar-related content & graphics. This includes all your text-, video-, and audio-based content assets, like emails, newsletters, blog posts, social media banners, teasers & clips, etc.

Build Event on Webinar Platform

Once you’ve successfully run the initial platform tests, start building your main webinar event on the platform. Schedule tracks and add all the details—about the webinar, speaker, etc. 

Start incorporating banners, uploading pre-recorded videos, and integrating your CRM & marketing automation tools.  

Select Right Content Distribution Channels & Plan Webinar Campaigns

Identify the channels on which your target audience is most active, such as LinkedIn, X (previously Twitter), and email. Knowing your best channels will help drive your registrations and also boost engagement on  your webinar-related posts. 

Plan social media, email, and paid ad campaigns (if required) with personalized content, to amplify your brand presence, reach a broader audience, and drive more registrations.

3 Weeks Prior

Begin Social Media Promotions

Launch social media campaigns and start posting webinar banners, promotional teasers, and related posts with CTAs redirecting prospects to the registration page or webinar landing page. 

To drive more engagement and build anticipation, conduct social media contests & polls, share speaker highlights & sneak peeks, and schedule countdowns. 

Send out Invitation & Follow-up Campaigns 

Segment your audiences and send out personalized invitations via emails and other channels. Also start drafting and scheduling the next set of emails, i.e., follow-up emails & reminder messages. 

Consider creating two different sequences:

  • One to re-engage with audience who haven’t registered for the webinar yet 
  • And another to engage your registrants with webinar-related resources, platform guides, and reminders. 

Build a Backup Plan

Having a backup plan will help you mitigate risks like technical errors, webinar platform issues, and speaker unavailability & minimize event disruptions.

Prepare Personalized Webinar Slides & Presentations

When hosting segmented sessions, tailor your webinar slides to suit each audience category. Customizing presentations based on demographics, language, and other audience-specific factors helps maintain relevance and boost engagement. 

2 Weeks Prior

Connect with Speaker(s) & Conduct Rehearsal 

Ensure your speakers are familiar with the webinar platform’s features, presentation flow, and final schedule. 

Provide them with a thorough overview of the platform’s key functionalities, such as screen sharing, stage controls, and backend tools, to help them feel confident about navigating the platform and feel prepared for the live session.

Draft the Webinar Script and Host Notes

Ensure the hosts have a detailed script ready with them, outlining the webinar flow, including session durations, activities, and transitions. This will offer clarity and ensure smooth moderation & time management.

Send Out 1st Reminder 

Email all the registered participants, reminding them about the webinar. Include details like date, day & time, agenda, check-in instructions, and platform guide. 

Provide CTAs encouraging them to add the event to their calendar for easy access to the webinar link.

1 Week to Webinar

Conduct Final Rehearsal

Run through the entire webinar flow with all organizing members, tech support staff, hosts, and speakers. Use this opportunity to fine-tune the presentation, review transitions & timings, and address technical details. 

Discuss potential challenges that may arise during the live session and review backup plans to ensure everyone is aligned & prepared.

Send 2nd Reminder

By the end of this week, send another follow-up email to registrants with the final details & any additional information they might need. 

Include a clear “Add to Calendar” CTA in this email as well. This will help those who may have missed adding the event earlier. 

D-Day: Day of Webinar 

Before Going Live

Send Final Reminder

Send this reminder two hours before the webinar. Alert registrants and encourage them to start the check-in process early, to avoid any last-minute confusion.

Stay Available Backstage

Keep moderators, hosts & co-hosts, tech support, and organizing team on standby to address all queries, quickly resolve confusions, and start the webinar as scheduled . 

Start Attendee Check-in

Start the event and allow your registered participants to login to the webinar and test their setup & bandwidth. This will ensure a smooth check-in and enable attendees to join the session on time.

Live Stage

Start the Webinar and Initiate the Recording 

Start the recording of the live session and welcome your attendees. Briefly introduce your company, yourself, and speakers, and share a quick overview of the webinar. 

Begin the Presentation and Attendee Interaction

Start the presentation and engage your attendees via public chat, polls, Q&As, and other interactive elements. You can also offer a short break in between the sessions.  

Close Webinar and Thank Your Attendees

Conclude the webinar within the scheduled time, highlight next steps, and thank your attendees & the speaker for joining and contributing to the webinar. 

Launch a Live Feedback Poll

Before ending the webinar, start a quick poll to gather attendees real-time feedback about the webinar. 

Post-Webinar Phase

Send a Thank You Email/Message 

Send out a “thank you” email to your attendees, speakers, and other webinar stakeholders, post-the webinar. Appreciate their active contribution and participation throughout the event journey.

Include a survey questionnaire in your emails for attendees to get detailed insights on the overall webinar experience, including content, presentation delivery, and other activities.

Repurpose Webinar Recording & Content

Convert the recorded webinar into personalized, segmented content. You can convert the webinar transcript into various on-demand formats, including audio, video, text-based, as well as multilingual content depending on your business needs.

Segment Audiences & Launch Follow-up Campaigns

Segment your audiences into different categories, like no-shows, attendees, non-registrants, and potential leads (if applicable). This helps personalize communication, increase engagement, and boost conversions. 

For example:

  • No-shows: Send a follow-up email to those who registered but couldn’t attend the webinar, due to whatever reasons. Include session recording, key highlights, and on-demand content.
